Eight Steps to Problem Solving

There is a simple eight step method for systematic problem solving. By solving problems in an orderly way, you can dramatically increase the power of your thinking.
Proceed With A Positive Attitude
First, approach the problem with the expectant attitude that there is a logical practical solution just waiting to be found. Be relaxed, calm, confident and clear in your mind.
Second, change your language from negative to positive. Instead of the word "problem," use the word "situation." Problem is a negative word while situation is a neutral word. "We have an interesting situation", is better than, "We have a problem."
Define the Situation Clearly
The third step in systematic problem-solving is to define the situation clearly, in writing. "Exactly what is the situation?" Then ask, "What else is the situation?" Sometimes stating the problem in different words makes it much easier to solve.
Once, when I was working with the Chamber of Commerce, I came to the attention of a senior executive who hired me away from the company I was working for a year later at triple the salary. Meeting people is very important. Network at every opportunity.
Fully 50% of situations can be resolved by accurate definition.
Step number four is to, ask "What are all the possible causes of this situation?" Failure to identify the causes or reasons for the situation often causes you to have to solve it again and again. Fully 25% or more of situations can be effectively dealt with by discovering the correct causes.
Step number five is to ask, "What are all the possible solutions?" Write out as many solutions or answers to the situation as possible before moving on. The quantity of possible solutions usually determines the quality of the solution chosen.
Clear Decisions Are KeyStep number six is to "Make a clear decision." Usually any decision is better than none.
Step number seven is to "Assign clear responsibility for carrying out the decision and then set a deadline for completion and review." Remember, a decision without a deadline is just a fruitless discussion.
Finally, step number eight is to follow-up, monitor the decision, compare actual results with expected results and then generate new solutions and new courses of action.
Action ExercisesNow, here are two ways you can apply this technique to think more creatively.
First, state the problem clearly, in writing, so that you know exactly what it is that you are trying to solve. Ask, "What else is the problem?"
Second, develop as many solutions as you possibly can, including doing nothing, before you make a decision. Quality of ideas is in direct proportion to the quantity that you generate.
Results Determine Rewards

People say that you are lucky when you achieve great success faster and easier than other people, but everything that happens is based on probabilities.
Successful people are always taking actions, large and small, to increase the likelihood that they will achieve their goals. They attribute their success to their own personal characteristics and especially to their willingness to work harder than other people.
Contribution is Key
The principle of contribution is closely connected to the principle of results. It says, "Your financial rewards in life will always be in direct proportion to the value of the contribution that you make to others, as they value it."
The Reason for Job Insecurity
Many people suffer from job insecurity and stagnant or declining levels of income because they have not continued to increase the value of their contribution to the employer.
Today, the most valuable component of any product or service is the amount of knowledge and skill that goes into it. You achieve job security and higher income by dedicating yourself to improving and increasing the results you get for others, and by increasing the contribution that you make to their lives and work.
Become Intensely Results Oriented
One of the fastest ways for you to come to the attention of the important people in your work is to become an intensely results-oriented person. Result orientation is a key quality of the highest paid and most respected people in every company and area of endeavour.
Whenever a company gets an excellent reputation for offering quality products and services, customers line up to buy from it. The habit of doing good work well moves you into a different category from those who only do as much as they need to do to avoid criticism. Be Prepared to Work Hard
In addition to quality work, you must be prepared to work hard. Hard work is essential for any kind of lasting success. Good work habits go hand in hand with what people continually refer to as good luck.
A person who works efficiently and well, and gets a lot of high-value work done, on or before schedule, seems to get a lot of lucky breaks. He or she gets even more opportunities to do more high-value work.
Most People are LazyUnfortunately, most people are lazy. They do just as much as they have to do to avoid getting fired. They sometimes act as if they are entitled to a job, whether they do it well or not. This fact gives hard working people an opportunity to excel far above the lazy people of the world. Create Your Own Reputation
Here’s a question for you. Do you have a reputation for being one of the hardest and most efficient workers in your company? Do people look up to you and respect you as one of the top people in your business? Are you continually being given more and bigger assignments, more important responsibilities, and more opportunities for promotion than anyone else?
If the answer is no, isn’t it time for you to make a decision to get serious about your future? Remember, this life is not a rehearsal for something else.
Action ExercisesAsk yourself continually, every minute of every day, "What results are expected of me?" Whatever your answer, concentrate on those results most of the time.
How to Improve your Communication
Have you ever felt that you were absent in a conversation that was really important to the person who shared their experiences? Have you ever been preoccupied with your own thoughts during a business meeting, or over the phone? Have you ever wished you would rather be somewhere else?
As I am writing these questions, I imagine you sitting there, silently nodding with a guilty smile.
It is so easy to be absent to others, because we are always present to the most important thing in our life: ourselves. On an unconscious level, we always ask the question: “What’s in it for me?”
Have you ever noticed how your disinterest can turn into keen anticipation in an instant, as soon as you realise that the person you are speaking to is there to help you? Or that you could benefit from their information, help, etc.?
Perhaps you have even been on the receiving end of that kind of behaviour! I know I have. It’s not a nice feeling, is it? In fact, it can be rather infuriating, disappointing and frustrating.
So how can we stop ourselves from this rather selfish behaviour? How can we make others feel good all the time? How can we become a magnet that people want to be with?
There are three simple principals that, if you remember them, will improve your personal relationships as well as your business relationships. And what’s more, it will make you more present, popular and empowered.
1. Principal: Listen with your Heart:
“When people talk, listen completely. Most people never listen.”

When you listen with your heart, you give the speaker the greatest gift. Pay 100% attention. It is the simplest way to make another human being feel accepted, appreciated and empowered.
2. Principal: Pause before you Answer:
The power of the pause is often undervalued.
“One of the basic causes for all the trouble in the world today is that people talk too much and think too little. They act impulsively without thinking. I always try to think before I talk.”

If you pause before you respond, you ensure that the other person has actually finished speaking. You also show that you really listen on a deep level and carefully consider your response without jumping to hijack to conversation or bring your own point of view across.
3. Principal: Clarify before your Respond:
Paraphrase and summarise what you heard the speaker say. This has several benefits: It demonstrates your attentiveness. It avoids misunderstandings. It makes the speaker feel validated, respected and understood. And what’s most important: it builds strong relationships and trust.
Try it on for a day or even a week. You will be amazed how good it feels to make others feel good by giving them the gift of truly listening.

The Law of Priorities…

The very worst use of your time is to do well what need not be done at all. The Pareto Principle says that 20% of your activities will account for 80% of the value of your activities. This means that, if you have a list of ten items to accomplish, two of those items will be worth more than the other eight items altogether.
To achieve great things, you must always be concentrating on the small number of activities that contribute the greatest value to your life and your work.
Determine the Consequences
The value of anything in your order of priorities can be measured by assessing the potential consequences of doing it or not doing it. Something that is important has significant consequences to your life and your career. Something that is unimportant has few or no consequences of significance to your life or career. The mark of the superior thinker is your ability to consider possible consequences before you begin.
Continually ask yourself, "What is the most valuable use of my time, right now?" And whatever it is, work on that. Your ability to discipline yourself to work on those few tasks that can make the greatest difference in your life is the key quality that makes everything else possible for you. Action Exercises
Here is how you can apply this law immediately:
First, make a list of everything that you do as a part of your job. Now, analyze the list and select the three to five things that are more important than everything else put together.
Second, imagine that you are going to receive a $100,000 bonus at the end of the month if you can work on your highest priority items every minute of the day. How would that change your behavior? What would you do differently?

Winston Churchill once said, "Courage is rightly considered the foremost of the virtues, for upon it all others depend." The systematic development of the deep down quality of unflinching courage is one of the fundamental requirements for leadership in any field. Fear, or the lack of courage is more responsible for failure in management, and in life, than any other factor. It is always fear that causes people to hold back, to sell themselves short, to settle for far less than they are capable of!
Eliminate Fear and Doubt
I firmly believe that you can do, have or be far more than you now know if only you could eliminate the fear, doubts and misgivings that consciously and unconsciously interfere with your realizing your full potential.
Unlearn Your Fears
If there is anything positive about fear, it is that all fears are learned, that no one is born with fears, and that having been learned, they can be unlearned. If you want to understand the role of fear in shaping the course of your life, just ask yourself, if you had a magic wand that would absolutely guarantee you success in any one thing you attempted, what goal would you set for yourself.
"What one great thing would you dare to dream if you knew you could not fail?" If you had no fears at all with regard to money or the criticism of others, what would you do differently? Most people can think of all kinds of changes they would, or could, make in their lives if they had no fears to hold them back. The Origins of Fear
The development of courage begins with understanding the psychological origins of fear. The newborn child has only two fears; the fear of falling and the fear of loud noises. All other fears that we experience as adults are learned as we are growing up, primarily as the result of well-meaning but destructive criticism from our parents. How Fears Develop
When the curious child gets into things and makes a mess, the parent scolds and punishes the child, eventually building up a pattern of fear connected with trying or getting into anything new or different. As adults, we experience this as the fear of failure, the fear of risking, of making a mistake, of losing. Action Exercises
Here are two steps you can take immediately to put these ideas into action.
First, imagine that you had no fears at all. What would you set as a goal for yourself if you were guaranteed of success?
Second, decide exactly what you want and then act as if it were impossible to fail. You may be surprised at how successful you are.

Be a Doctor of Selling!

Three Keys to Building Relationships
Top sales professionals see themselves as "Doctors of Selling." They see themselves as professionals, well educated, acting in their "patient’s" best interest, and bound by a high code of ethics.
The medical process is the same everywhere. Whenever you go to any doctor, of any kind, for any condition, he will follow the three part sequence of examination, diagnosis and prescription.
Begin With a Thorough Examination
Just as a medical professional would never think of treating you without following these three steps in order, you as a doctor of selling, would never allow a customer to force you to sell without your going through your three stages as well. This is as applicable to selling magazines door-to-door as it is to selling oil tankers to Exxon.
In the examination phase, you ask excellent questions, carefully prepared, in sequence, which are geared to give you a thorough knowledge of the patient’s condition, or the customer’s situation.
The second phase is that of diagnosis. In the diagnosis phase with a customer, you would repeat back the results of your examination and double check to be sure that the symptoms that you had detected were the real symptoms being experienced by the patient. You would ask additional questions to confirm and corroborate. You and the patient would mutually agree that this diagnosis seems to be an accurate description of the condition or problem. Make the Right Prescription
Once this mutual agreement has been reached, that a treatable condition exists and that you have identified it accurately, you can move on to phase three. This is the prescription phase, where you show the patient (customer) that your product or service is the best available treatment, taking all the factors of the patient’s situation into consideration for the ailment that you have diagnosed. You show that, on balance, what you are suggesting is the best of all possible solutions.
Professionals who sell in the way that doctors treat patients find that their sales activities proceed far more smoothly and result in better sales in less time.
Action ExercisesHere are two things you can do immediately to put these ideas into action.
First, take the time to do a thorough examination by asking excellent questions and by listening carefully to the answers.
Second, repeat back and check your diagnosis with the customer so that you both agree on the need or problem – before you recommend a solution.
Saving Time When Dealing with Others.

Your interactions with others consume as much time, if not more, than any other part of your day. Even technical workers spend up to 75 percent of their time communicating with co-workers. You can greatly increase the efficiency of your interactions by improving the quality of your communications.
Common Misunderstandings
A major waste of time is caused by misunderstandings between people about roles, goals, and responsibilities. People do not know what they are expected to do, how to do it, and by what time.
Misunderstandings lead to inefficiencies, anger, frustration, and unhappiness. It often requires an enormous amount of time to clear up a misunderstanding and get matters back to normal.
Unclear Priorities
Misunderstandings about priorities often lead to your working at the wrong job, at the wrong time, for the wrong reason, and perhaps aiming at the wrong level of quality. Or the problem may be that you are working for the wrong person.
The single most important cause of positive feelings and high levels of motivation in work is defined as "knowing exactly what is expected." On the other hand, the number-one complaint, or de-motivator, of employees is to "not know what is expected."
In order to perform at your best, you need absolute clarity about your job and what you are expected to do.
Poor Delegation
Poor delegation to others, or from others, leads to mistakes and frustration on the part of both the boss and the employee. It is a major time waster. Poor delegation causes even the most sincere talented people to do poor work or the wrong jobs. Therefore, they end up feeling frustrated and unhappy.
Unclear lines of authority and responsibility lead to time wastage. People do not know who is supposed to do what job, when is it be done, and to what standard of quality. People are left to wonder, who is supposed to report to whom? Who’s in charge? Who’s the boss? Incomplete Information
Another major time waster in business is poor or incomplete information, which leads to erroneous assumptions and conclusions. It is amazing how often people jump to conclusions or make false assumptions on the basis of wrong information.
The very best managers take the time to ask questions, and they listen carefully to the answers before they make a decision. If there is a key piece of information that suggests a problem or difficulty, they double-check on this piece of information to make sure that it is accurate.
Aimless or Too Frequent MeetingsToo many meetings, or aimless meetings that proceed without an agenda, direction, or closure, are an enormous waste of time at work. These are meetings that start and stop without any particular resolution. No problems are solved, no decisions are made, and no responsibilities are assigned. No deadlines are agreed upon for action. Lack of Clarity Concerning One’s Job
People need to know everything that is happening in the company that affects their particular jobs. The very best companies are open and honest with all employees concerning those matters affecting the health of the company.
Employees need to know what is going on and how their jobs fit into the big picture. When employees are unclear or unsure, an enormous amount of time is lost as the result of conversations, discussions, and gossip, which lead to ineffective work behaviours and poor productivity.
Action ExerciseBe crystal-clear in explaining to others exactly what is to be done, and to what standard of performance, and by what date.
The Definition of Wealth…

If you want to be wealthy, you must understand what wealth is. Here is the best definition of wealth you will ever find. Wealth is "Cash flow from other sources."
Make Your Money Work For You
What this means is that, you are not wealthy just because you earn a lot of money. You are only wealthy when your money works for you. To become wealthy, your main job is to acquire money and then put it to work making more money for you.
Add Value Continually
The key to creating wealth is simple. It is called "adding value." Successful people are those who are always looking for ways to add value in some way to a person, a company, a product or a service.
Do It Faster
Here is an example of adding value: Domino’s Pizza. The founders of Domino’s Pizza took a common food, offered by thousands of little restaurants and added a value to the pizza by delivering it more rapidly than anyone else. The added value of speed enabled Domino’s to create a billion dollar empire and made the founder of Domino’s, Tom Monahan, one of the richest men in the world.
Buy It Cheaper Somewhere Else
Another way to add value is to buy something in one place at one price and then make it available in another place for another price. For example, buying a product or service manufactured in Europe or Asia, importing it to the United States and making it available to people to whom it was not available before, is a way of adding value for which you can charge a higher price.
All manufacturing and marketing is based on this principle of added value. All importation and distribution aims to add value. Performing a service that enhances the life or work of another person adds value. A dentist who takes away pain is adding value. An accountant who saves a client money on taxes is adding or actually creating value. A salesperson who introduces a new product or service to a customer that helps that customer in some way is adding value. All financial success, especially business success, is based on adding value. It is based on the old saying, "Find a need and fill it." Combine and Recombine the Elements of Value
All successful business is based on someone bringing together the factors of production, such as labor, capital, raw materials and management, and creating a product or service that a customer will pay a price for that is in excess of the cost of producing it. How All Fortunes Are Made
Adding value is the way that all fortunes are made. Whenever you see an opportunity to give people what they want at a price greater than it costs you to produce that product or service, you see an opportunity to make a profit, build a business and begin moving toward financial success. Almost any business or occupation can make you financially independent if you can find a way to add enough value. Action Exercises
Now, here are two actions you can take immediately to add more value to your time and activities:
First, take the time to be absolutely clear about what it is that people want and need to improve their lives and work. The more clear you are about their real needs, the easier it is for you to satisfy them at a higher level.
Second, look for ways to add value to what you are doing every day in every way. Never be satisfied with the status quo. One small idea to add value can be the starting point of a great fortune.
Create Your Daily Personal Growth and Development Activity Schedule…

There are seven disciplines you must develop if you want to achieve all that is possible for you. You can learn these disciplines through practice and repetition until they become automatic.
Goal Setting
Every morning, take three to five minutes to write out your top goals in the present tense. Get a spiral notebook for this purpose. By writing out your ten goals at the beginning of each day, you will program them deep into your subconscious mind.
This daily goal writing will activate your mental powers. It will stimulate your mind and make you more alert. Throughout the day, you will see opportunities and possibilities to move more rapidly toward your goals.
Planning and Organizing
Take a few minutes, preferably the night before, to plan out every activity of the coming day. Always work from a list. Always think on paper. This is one of the most powerful and important disciplines of all for high performance.
Concentration on your Highest-Value Activities
Your ability to work single-mindedly on your most important task will contribute as much to your success as any other discipline you can develop.
Your health is more important than anything else. By disciplining yourself to exercise regularly and to eat carefully, you will promote the highest possible levels of health and fitness throughout your life. Learning and Growth
Your mind is like a muscle. If you don’t use it, you lose it. Continuous learning is the minimum requirement for success in any field. Time for Important People in Your Life
